Families can apply to your Madrasa through a public registration link, without signing in. Organization Admins create the links and review each application under Madrasa → Registrations.

  1. Open Madrasa settings and go to the Registration Links tab.
  2. Select Add Registration Link.
  3. Enter a Title, such as 2026–27 Madrasa Registration, and optional Instructions that families see before they start.
  4. Choose the Academic year and, if you like, a Program.
  5. Optionally set Opens and Closes times, a Submission limit, and a Capacity (for your information only).
  6. Save, then select the copy icon to copy the link and share it.

The academic year must have Registration open turned on, or the link shows as closed.

What families fill in#

The form has steps: the parent or guardian (and an optional second guardian), each child with date of birth, gender and program, policies and consent with a typed signature, then Review & Submit. Only programs that fit a child's gender are offered. At the end, the family sees Registration received and a reference number.

Review applications#

  1. Open Madrasa → Registrations. New applications show as New.
  2. Open an application. Select Mark Under Review when you start working on it.
  3. Link each guardian and child to a People record. Use Use this person when NizamOS suggests a match, Choose existing person, or Create new.
  4. Link the application to a family, or select Create new family.
  5. Set each child's status: Approved, Waitlisted, Needs Information or Rejected, with an optional note.

A child can be approved only after the guardian, the family and the child's People record are resolved. After approval, select Assign to class → to place them in a class.

Good to know#

  • Approving accepts a child into the program only. Class placement, fees and attendance are separate steps.
  • Withdraw marks the whole application and every undecided child as withdrawn. Nothing is deleted.
  • Medical and emergency details on an application are shown in a restricted section.
  • Use Internal notes for office-only comments. The Status history shows every change.

Troubleshooting#

Families may see "Registration hasn't opened yet" before the opening time, or "Registration is closed" after the closing time, once the submission limit is reached, or when the academic year's registration is closed. See A public link isn't working.
