Privacy Policy
This Privacy Policy explains how ARCTICAIVON INC., which operates NizamOS under the Artic AI brand, handles personal information through nizamos.ca, app.nizamos.ca, and the NizamOS services.
NizamOS provides software to mosques and community organizations. Each customer organization decides what community information it enters and how it communicates with its members. We process that information to provide the service on the organization's behalf.
What we collect
When you book a demo or contact us, we receive the details you enter, including your name, organization, email address, phone number, location, interests, and message.
When an organization uses NizamOS, the service may process account details and information about members, volunteers, students, families, programs, attendance, registrations, bookings, payments, and communications. We may also collect device, log, security, and diagnostic information needed to operate and protect the service.
How we use it
We use information to respond to requests, provide and support NizamOS, process instructions from customer organizations, secure the service, prevent misuse, troubleshoot problems, meet legal obligations, and improve reliability.
Service providers and disclosure
We may share information with providers that support hosting, email, payments, scheduling, security, support, and communications. They may use it only to provide services to us or our customer organizations. We may also disclose information when required by law, to protect rights or safety, or as part of a legitimate corporate transaction.
We do not sell personal information.
SMS and mobile information
NizamOS SMS is limited to expected operational and transactional notifications, such as registration confirmations, program reminders, event updates, schedule changes, facility booking notices, and important mosque or community announcements. NizamOS does not offer SMS for marketing or promotional campaigns, unsolicited messages, spam, or purchased contact lists.
Mobile numbers, message content, consent and opt-out records, and delivery information are not sold or shared with third parties for their own marketing or promotional purposes. They may be shared with messaging and infrastructure providers only as needed to deliver messages, prevent abuse, comply with law, and operate the service.
NizamOS TV and connected displays
NizamOS TV on compatible Fire TV and Android TV devices displays prayer and Iqamah times, announcements, and slides provided by a mosque or community organization. A mosque administrator pairs a display with their organization through app.nizamos.ca; viewers do not need an account on the TV.
To start pairing, the TV creates a random device credential and sends only a cryptographic hash of it, plus the device model and app version, to NizamOS over an encrypted connection. To check pairing status, confirm pairing, and check in later, it sends the credential itself so the server can hash it and match the stored hash. The server keeps those hashes, not the original credential. It also stores a hash of a separate display token derived from the credential. The TV puts that token in the display address on app.nizamos.ca to load the organization's content, and ordinary connection logs may include that address.
We hash the connection's IP address to limit abusive pairing attempts and store that hash on the pairing request. Unconfirmed requests are deleted about an hour after they expire. A confirmed pairing request, including the hash, is kept with the device record. When a display is paired, we keep a device record for its organization, including its assigned name, device model, app version, pairing and revocation details, status, and last-seen time.
The TV app does not ask viewers for an account, does not use the device's location, and does not include advertising or third-party analytics. Prayer times come from the organization's schedule, not from the TV's location.
The app stores its pairing information on the device and uses local WebView storage to cache display resources and schedule data so an already configured display can continue working during temporary internet outages. Its offline schedule snapshot is designed to cover up to 30 days; this does not mean that every local cache entry is automatically deleted after 30 days. Clearing the app's storage or uninstalling the app removes its locally stored data.
We use this information to connect the correct display to the correct organization, deliver display content, synchronize updates, detect outages, troubleshoot issues, and protect the service. Hosting and infrastructure providers may process data on our behalf as described above. We do not sell TV pairing information or use it for targeted advertising.
Organization administrators can manage and revoke paired devices through NizamOS. Revoking a device stops its access but may leave pairing and audit records for operational, security, or legal reasons. To ask about access, correction, or deletion of related data, contact support@nizamos.ca. We may need to verify a requester's authority and coordinate with the organization that manages the display.
Retention and security
We retain information only as long as reasonably necessary for the service, customer instructions, security, legal obligations, and dispute resolution. We use administrative, technical, and organizational safeguards appropriate to the information. No system can guarantee absolute security.
Service providers may process information outside your province or country, where it may be subject to local laws.
Your choices and questions
Community members should first contact the mosque or organization that collected their information. You may also email support@nizamos.ca to ask a privacy question or request access, correction, or deletion where applicable. We may need to verify your identity and coordinate with the responsible organization.
We may update this policy by posting a revised version with a new effective date.
