Bulk import Madrasa students and teachers

Bulk Import adds many students and families, or many teachers, from one spreadsheet. Only Super Admins can use it. Nothing is saved until you confirm, and the whole import succeeds or fails together.

Prepare your file#

1. In NizamOS, open Madrasa → Bulk Import.
2. Choose Students + Families or Teachers.
3. Select Download Students Template or Download Teachers Template to get a file with the right column headers.
4. Fill it in. Use a .csv or .xlsx file, up to 5 MB and 1,000 rows, with column headers in the first row.

Student file columns#

One row is one student, plus that student's family and one guardian.

• Required: Student First Name, Family Reference, Family Name and Guardian First Name.
• Optional: student last name, date of birth, gender, school grade, email and phone; guardian last name, email, phone and relationship (parent, guardian or other); Primary Guardian and Can Pick Up (yes or no); and Program Name, Academic Year and Class Name.

The Family Reference is a short code you choose, using letters, numbers, hyphens or underscores. Rows with the same reference belong to the same family, and a reference that matches an existing family adds the student to that family. Family Name is only a display name and is never used to match families.

If you give a Class Name that exists in that program and year, the student is placed in that class.

Teacher file columns#

Teacher rows need First Name. You can add last name, email, phone, start date, qualifications and notes.

Import#

1. Select Choose file and pick your spreadsheet.
2. Map columns: match each field to a column, or leave it Unmapped. Columns named like the template are matched for you.
3. Review: each row shows as New, Duplicate (matches someone already in People) or Invalid. Invalid rows are skipped, with the reason shown.
4. Select Confirm Import.

Good to know#

• People are matched by email first. A phone number is used only when it matches exactly one person; otherwise the row asks you to add an email.
• An unrecognized guardian relationship is treated as parent, with a warning.
• A class name that can't be found, or belongs to another program or year, is reported and the student is imported without a class.
• If any write fails, nothing from the file is saved, so you can fix the file and try again.
