A volunteer request asks for a number of volunteers for an event or activity. Every request belongs to a committee. Organization Admins, Super Admins and the committee's lead can create and manage requests. Volunteer requests are part of the Core plan.

Create a request#

  1. Open Volunteer Requests and choose New request.
  2. Enter a Request title, choose the Committee, and enter the Event or activity.
  3. Set the Date, Start time, End time, Location and Volunteers needed.
  4. Optionally choose a Division, Required interests and Required skills.
  5. Choose a Status: Draft, Open, Filled, Completed or Cancelled.
  6. Choose Create request.

If no committee exists yet, NizamOS asks you to add one first. See Committees, members and tasks.

Invite volunteers#

  1. Open the request. The Matching section lists active volunteers.
  2. Recommended people are free at that time on that day, are in the request's division (if it has one), and match at least one interest or skill you asked for. Each has a score: 3 for availability, 2 for each matching interest or skill, and 1 for the division.
  3. Tick the people you want. You can also invite anyone under Other active volunteers.
  4. Choose Invite selected.

Track responses#

Under Invited volunteers, each person shows Invited, Accepted, Declined or No Response. The organizer can record each answer and choose Update. A volunteer who signs in can accept or decline on the request themselves. The summary shows Volunteers needed, Invited, Accepted and Remaining spots.

Good to know#

  • Inviting saves the invitation. Volunteers are only messaged if a Volunteer invited automation rule is turned on; the request page tells you which channels will be used. See Notifications and automation rules.
  • Needs Attention can flag unanswered invitations and requests that are short of volunteers.
  • Archive (under Cleanup) hides a request from active lists without losing its history. Only a Super Admin can permanently delete one, and only when it has no invitations.
