NizamOS sends a text only when your organization has the person's consent for that exact phone number, and the number has not replied STOP. Consent belongs to your organization alone: consent given to another organization never lets you text someone.

Having someone's phone number, their People record, their membership of a program or committee, or an approved booking is not consent.

People give consent themselves by ticking the optional SMS consent box on your public forms:

  • signup links
  • program join links and session registrations
  • Madrasa registration forms (for the first parent or guardian)
  • facility booking requests (this consent covers messages about that booking only)

The box is never ticked in advance, and the form says consent is optional and not a condition of registering. NizamOS keeps the exact wording the person agreed to.

If a person agreed in another way, such as on a paper form or at the front desk, an Organization Admin or Super Admin can record it:

  1. Open People and select the person.
  2. In the SMS consent section, choose Record SMS consent.
  3. Choose How they gave consent (for example Told us verbally (phone or in person) or Signed a paper form) and When.
  4. Add a Note (required for Other) and an optional Evidence reference, such as "Paper form, binder 3 page 12".
  5. Tick the box confirming the person agreed, and choose Record consent.

When someone asks not to be texted any more:

  1. In their SMS consent section, choose Withdraw consent.
  2. Enter a Reason and choose Withdraw consent.

If they can, they should also reply STOP. The consent history is always kept.

STOP, START and HELP#

  • Anyone can reply STOP to any text to opt out. STOP always wins over any consent you have on record.
  • Only the person can undo a STOP, by texting START to your organization's number. While a STOP stands, consent can't be recorded.
  • Replying HELP gives information.
  • Every text includes your organization's name and "Reply STOP to opt out."

Your SMS Opt-In page#

Your organization has a public SMS Opt-In page that explains how you collect consent and shows the exact wording. It is useful when a phone carrier or messaging provider asks how you collect consent. Your public signup pages link to it.

Good to know#

  • The SMS consent section on a person's record shows their current status, where each consent came from, and the full history.
  • Opting out of texts doesn't cancel anyone's membership, registration or volunteering.
